Tel-Aide Montréal is currently seeking an external event coordination consultant to support the planning and delivery of its annual fundraising event, the TAM-TAM DON.
Since 1971, Tel-Aide Montréal has provided a free, confidential, and anonymous listening service, available in both English and French. Each year, this flagship event plays a key role in supporting this essential mission while bringing the community together to promote mental well-being through listening.
A key mandate at the heart of our mission
The selected consultant will play a central role in the overall coordination of the event. Working closely with the internal team, this individual will be responsible for planning, logistics, vendor relations, and ensuring the smooth execution of the evening.
The mandate can be carried out largely remotely, with the exception of certain activities requiring in-person presence, such as the event itself, site visits, or other occasional needs.
This mandate represents a unique opportunity to apply your event planning expertise in a meaningful context, within an organization dedicated to mental health and human support.
The consultant will be responsible for planning, coordinating, and delivering Tel-Aide Montréal’s annual event, including:
General Planning
- Develop the event timeline, program, and floor plan
- Oversee overall coordination of event preparation
- Collaborate on logistical planning with the Executive Director and the Philanthropy and Communications Coordinator
Logistics and Vendors
- Source and book the venue
- Coordinate vendors (catering, audiovisual, entertainment, equipment, etc.)
- Prepare all required event materials
- Monitor quotes, expenses, and overall budget
- Coordinate food, beverage, and equipment needs
Participants, Guests, and Partners
- Manage ticketing and sales tracking
- Handle event-related communications with guests
- Oversee guest lists and confirmations
- Coordinate partner visibility in collaboration with the internal team
Fundraising Activities
- Coordinate the logistics of the auction (donor outreach, item collection, inventory, digital platform, setup, and follow-up)
- Organize materials related to fundraising activities during the event
- Support the implementation of fundraising initiatives
Janette Bertrand Wellness Award
- Research and update the list of organizations to be solicited
- Coordinate outreach efforts
- Manage the nomination process and verify eligibility
- Support the internal team with this component
Event Day Coordination
- Be present on site
- Coordinate vendors and stakeholders
- Manage unforeseen issues
- Support the internal team
Profile Sought
We are looking for a self-directed, organized, and proactive individual with relevant experience in event coordination, ideally within the community or philanthropic sector. Strong proficiency in both French and English is required.
